Two-way sync

Edit in either place. Both stay current.

A document edited in Filevine updates in SharePoint, OneDrive, Dropbox, or Google Drive. A document edited in your storage updates back in Filevine. Sync runs near real time off webhooks, with a 5-minute polling fallback and a nightly reconciliation sweep so nothing drifts.

Loop prevention

Every write MatterOrbit makes is tagged with sync-source metadata. When the inbound webhook for that write arrives, it short-circuits instead of bouncing back. That single design choice removes the infinite-loop trap that breaks Zapier and Workato setups above a low document count.

Smart rename

Filevine caps document paths at 250 characters. MatterOrbit renames and truncates intelligently to stay inside that limit, while preserving the original full file name in the middleware so nothing is lost and the document is still findable.

A dashboard that proves the sync ran

Every document and every sync event is logged. Failed operations retry with exponential backoff. Your dashboard shows live sync health, daily volume, the conflict queue, and a full, exportable audit trail. When a client or an auditor asks what happened to a file, you have the answer.

Security model

Built on partner-grade APIs, scoped per tenant

MatterOrbit uses Filevine’s official partner API (v2) with the 3-step S3 upload, Microsoft Graph, the Google Drive API, and Azure AD per-tenant consent. Because it runs on the sanctioned partner API, it gets dedicated, elevated rate limits rather than borrowing a firm’s own key. Credentials live in a per-tenant encrypted vault using AES-256. Each firm gets its own rate-limit bucket, so one firm can never starve another.
